Planning Your Hotel’s FF&E: A Guide for Owners

Building a hotel is far more complex than simply constructing a building. Many people assume a hotel project ends once the structure is complete, but in reality, the building itself is only one piece of the puzzle. To successfully open a hotel, especially before a critical busy season, owners must coordinate countless moving parts, all within tight timelines and budgets.

At Superior Projects, we’ve learned through experience that hotel construction requires a specialized approach. Beyond the concrete, drywall, flooring, and finishes, there is an entire world of furniture, fixtures, equipment, artwork, procurement, logistics, installation, and brand compliance that must come together to create a fully functional hotel.

When we first entered the hotel construction industry over a decade ago, we quickly realized how unique hotel projects truly are. At the time, we were still learning— both as general contractors, and as hotel specialists. We spent significant time navigating the complexities of hotel-specific requirements, figuring out brand standards, identifying preferred suppliers, coordinating procurement timelines, and solving installation challenges along the way.

We discovered that a hotel project cannot be approached like a typical commercial or multi-family development.

Hotels require an entirely different level of coordination and operational thinking. A hotel is only successful once it is fully functional and ready to welcome guests.

One of the biggest challenges owners face is managing FF&E (Furniture, Fixtures, and Equipment). This includes everything from case goods and seating to artwork, décor, appliances, and operational equipment. FF&E procurement is often one of the most underestimated aspects of hotel development.

There are countless details involved:

  • Interior design coordination
  • Brand standard compliance
  • Supplier selection
  • Shipping logistics and lead times
  • Competitive procurement pricing
  • Installation sequencing
  • Deficiency management
  • Coordination with opening schedules

These items must all align perfectly to avoid delays and cost overruns.

Through years of experience building hotels across multiple major brands, we’ve developed systems and relationships that eliminate much of this pain for owners. We understand where to source materials cost-effectively, which suppliers specialize in hotel-grade products, and how to coordinate procurement early enough to protect the project schedule.

In many cases, the best suppliers are highly specialized and operate within established hotel brand networks. Knowing who these partners are, and how to work with them effectively, can create significant savings and reduce unnecessary complications.

We also learned valuable lessons regarding installation. Early on, we attempted to manage FF&E installations using general labour forces, which created inefficiencies, quality issues, and schedule challenges. Over time, we realized there was a far better solution: specialized installation crews who focus exclusively on hotel FF&E installations across Canada.

These experienced teams understand how to mobilize quickly, install large quantities of furniture and case goods efficiently, track deficiencies professionally, and keep projects moving toward opening day. While hiring specialists may appear more expensive upfront, it consistently saves money in the long run by improving quality and protecting the project schedule. And in the hotel industry, schedule is everything.

Missing a summer busy season opening can have enormous financial consequences for an owner.

That’s why procurement, installation, and scheduling decisions cannot be treated as afterthoughts during construction. They must be strategically planned from the very beginning.

At Superior Projects, we approach hotel development holistically from the earliest stages of pre-construction. Interior design, procurement strategy, brand compliance, scheduling, and installation planning all begin long before construction starts. We work closely with interior designers and consultants to ensure the design direction aligns with both operational goals and brand standards.

By capturing these details early, we create clarity, reduce costly changes later, and position projects for successful openings.

Today, after building dozens of hotels, we’ve refined our process.

This process allows us to procure more efficiently, install with greater consistency and quality, and help owners avoid many of the painful lessons we learned ourselves years ago. As hotel specialists, we see ourselves as the conductors of the orchestra; bringing together all the moving pieces, coordinating the right people, and ensuring every element comes together at the right time.

We treat every hotel build as more than just another construction project because delivering an effective, on-schedule build is how we help our clients succeed, and that’s the goal behind everything we do.
